The Green Zone is all about the everyday money tasks that keep your business ticking along smoothly. These are the foundational habits that:
Require minimal training
Save hours of stress later
Cost nothing to implement
Give you real-time awareness
The 5 Green Zone Habits
✅ Habit 1 — Find YOUR Receipt System
The truth: the best receipt system is the one you’ll actually use.
Your options:
- 📦 Old school shoebox? Perfect! One box for the whole year
- 🚗 Envelope in your car? Great! Empty it into a folder monthly
- 📱 Scanning app on your phone? Awesome! Snap and file as you go
- 📧 Email to yourself? Brilliant! Create a “receipts” folder
⚠️ New Legal Requirement: It’s now legally required to have all receipts attached to transactions in your business. Whatever system you choose — get those receipts into your accounting software!
💡 Pro Tip: Whatever system you choose — do it immediately. Receipt in hand? Deal with it now. Waiting means forgotten receipts and missing deductions.
✅ Habit 2 — The Weekly Check-In
This takes literally two minutes and saves you from nasty surprises.
Every week (pick the same day):
- Open your banking app
- Check your balance
- That’s it! ✨
☕ Friday 4pm works best: Make it part of your weekly wind-down. Coffee in hand, quick bank check. You head into the weekend knowing exactly where you stand.
✅ Habit 3 — Cash Flow Awareness
The most important question in business:
Are you making more than you’re spending?
You don’t need fancy reports. Just a rough idea of:
- 💚 What money came in this week/month
- 💸 What money went out
- 📊 Whether you’re in the green or the red
Simple tracking methods: a note on your phone, a basic two-column spreadsheet, even a piece of paper on your desk. The goal is awareness — not perfect accuracy. That’s what your bookkeeper does!
✅ Habit 4 — Separation is Your Future Self’s Best Friend
Keep business and personal accounts separate — even if it’s just a separate everyday account. Do this from day one.
Why this matters:
- ✅ Tax time becomes so much cleaner
- ✅ You can see your true business profitability
- ✅ No more “was that business or personal?” confusion
- ✅ If you’re ever audited — you’ll thank yourself!
Getting started: Open a separate transaction account → use it exclusively for business → transfer yourself a “wage” to your personal account → never mix the two.
✅ Habit 5 — Ask Questions
There is no such thing as a dumb question about money. 💚
Good bookkeepers and accountants love questions. It means you care about getting things right.
Questions to never be embarrassed about:
- “Can I claim this expense?”
- “What does this mean on my report?”
- “How do I record this transaction?”
- “Is this normal for a business my size?”
