But here’s the good news: there are parts of managing your business finances that you can absolutely handle yourself – no fancy qualifications needed, no expensive software required. Just simple habits that keep you organized and save you money.

What is the Green Zone?

The Green Zone is all about the everyday money tasks that keep your business ticking along smoothly. These are the foundational habits that:

  • Require minimal training
  • Save you hours of stress later
  • Cost nothing (or very little) to implement
  • Give you real-time awareness of your business finances

Think of the Green Zone as your financial fitness routine. Just like drinking water and getting sleep, these are the basics that everyone can do – and the benefits are enormous.

The 5 Green Zone Habits

1. Find YOUR Receipt System

Here’s the truth: the best receipt system is the one you’ll actually use.

Your options:

  • Old school shoebox? Perfect! Just keep one box for the whole year
  • Envelope in your car? Great! Empty it into a folder at month-end
  • Scanning app on your phone? Awesome! Snap and file as you go
  • Email to yourself? Works brilliantly! Create a “receipts” folder

The new legal requirement: As of recent updates, it’s now legally required to have all receipts attached to all transactions in your business. This means your shoebox days need an upgrade – you’ll need to get those receipts into your accounting software somehow. Don’t panic! You can:

  • Scan or photograph them and upload to your software
  • Use apps that connect directly to accounting software
  • Email them to your bookkeeper who can attach them for you

Pro tip: Whatever system you choose, do it immediately. Receipt in hand? Deal with it now. Waiting until later means forgotten receipts and missing deductions.

2. The Weekly Check-In

This takes literally two minutes and saves you from nasty surprises.

Every week (pick the same day):

  • Open your banking app
  • Check your balance
  • That’s it!

Here’s the most important question in business: Are you making more than you’re spending?

You don’t need fancy reports or complicated spreadsheets. You just need a rough idea of:

Not sure if you can claim something? Ask. Confused about a payment? Ask. Don’t understand a term? Ask.
